A paid order may still be waiting because the team cannot see that payment has been verified or does not know what happens next. Check the status, the person responsible and the agreed next action before adding another tool.
Look at the order from the team’s side
Imagine a shop with eight orders. An authorised reviewer has verified six payments. But on the team’s screen, one of those six still says “payment received, wait for instructions”. Two other payments genuinely need checking.
A careful person will wait. The screen does not explain whether a customer sent a receipt or someone checked the payment. Asking the owner may be the most sensible action with the information available.
Make the decision visible
A receipt from a customer is not the same as a verified payment. Agree who checks it, where their decision is recorded and which status lets the order move forward.
In this example, the first change is simple: show the reviewer’s decision and the agreed action. Verified orders can move ahead. An unmatched amount or an unchecked payment stays with the reviewer.
Test the same order again
Keep the original payment facts. After changing the screen, ask the team what they would do now and why. A useful change should make the next step clearer without needing another message to the owner.
Then test an order with the wrong payment amount. It should still need review. A better process helps normal work move while keeping exceptions visible.

- Is the next action clear?
- Does an exception have a named reviewer?
Choose the tool after finding the gap
The answer might be a better status, a clearer responsibility or a connection between two records. A different payment service may also be worth exploring. Start with the cause before choosing the product.
